Client Services Representative/Administrative

This position provides an exceptionally high level of client service and provides general administrative
support to the office.
Qualifications and Administrative Duties
– Minimum 1-2 years experience in a related field/position with advanced knowledge of Microsoft Office.
– Greets client and visitors upon arrival and makes them feel welcomed
– Calls lawyer/staff to let know that client/visitor has arrived
– Monitors Outlook Calendars of all meeting rooms to ensure no double-bookings; resolves any conflicts
before client/visitor attendance
– Answers, directs all calls and takes messages per the firm’s policies and standards
– Processes payments as required; including Visa, Mastercard and debit
– Orders any related office supplies
– Ensures lounge and all meeting rooms and reception area are clean and organized throughout the day
– Acts as an office runner to pick up supplies, bring cheques to the bank and other reasons as assigned
– Maintains Petty Cash for the purposes of making change for clients providing cash payments
– Receives incoming electronic faxes and reroutes to appropriate lawyer/staff member, by email, updating
subject line with client/matter details if possible
– At the end of the work day checks all areas of the building to ensure all client and visitors have vacated
– Prepare waybills and packaging for couriers, scan copies to clerks and post disbursements to files
– Performs various administrative support duties as directed by lawyers/staff members when requested
