Company in Parry Sound in need of Manager/Administrator

Responsibilities:

  • Monitor and respond to emails
  • Answer phone and write maintain updated inquiry list
  • Print invoices upon receiving them
  • Input and pay invoices using QuickBooks Desktop
  • Conduct research and daily tasks as requested by owner
  • Make purchases of small equipment, organize repairs and maintenance on equipment
  • Create job cost breakdown using Excel spreadsheets
  • Update job cost breakdowns as invoices are marked by owner. Add invoice amount to job cost breakdowns before HST
  • Create file folders and file invoices as per job site
  • Create invoices and estimates
  • Order new equipment and organized maintenance of existing equipment
  • Ensure book records are up to date and discrepancy free
  • Issue bi-weekly payment to employees
  • Maintain employee folders with past job timesheet logs
  • Retrieve mail from Canada Post and conduct trips to RBC for wire transfers and bank drafts
  • Create customer contracts
  • Monitor social media platforms and post updates
  • Bill out for contracted commercial snow removal customers
  • Fill out monthly log sheets for snow removal contracts and submit
  • Maintain up-to-date equipment schedule
  • Maintain organized office space and stationary equipment like printer ink, paper, etc.

Requirements:

  • Proven admin or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office, Excel and QuickBooks
  • At least 3 years of experience in the field or in a related area
  • High school diploma or equivalent; college degree preferred
  • Must have G Class Driver’s License to commute to work and back

Job Type: Full-time

Salary: $20.00-$22.00 per hour
