About Us
We are a dedicated financial advisory firm in Parry Sound, Ontario, consisting of three experienced advisors committed to helping our clients achieve their financial goals. As a recent recipient of three local awards, we pride ourselves on our high level of service, expertise, and community presence. We’re looking for a detail-oriented Marketing Associate to join our team and help streamline our operations.
Position Overview:
The Marketing Associate will play a crucial role in supporting our team by managing daily administrative tasks, coordinating client communications, and ensuring efficient workflow across the office. This role requires strong organizational skills, professionalism, and the ability to handle sensitive financial information discreetly.
Key Responsibilities:
- Client Coordination & Communication:
- Serve as the main point of contact for clients via phone, email, and in-person.
- Schedule client meetings, prepare necessary documentation, and manage follow-ups.
- Maintain a professional and welcoming atmosphere for clients visiting the office.
- Document Management & Record Keeping:
- Organize, manage, and maintain client files, ensuring accuracy and compliance.
- Handle confidential financial documents with discretion and adhere to privacy standards.
- Prepare documents for client meetings and organize them post-meeting.
- Administrative Support:
- Assist with daily office operations, including calendar management, phone calls, and email correspondence.
- Prepare and process paperwork for account openings, transfers, and other financial transactions as directed by advisors.
- Data Entry & Reporting:
- Input and update client information in CRM systems and databases.
- Event & Marketing Support:
- Assist with the coordination of client events and any marketing initiatives, such as newsletters, client appreciation events, or community outreach.
Requirements:
- Proven experience in an administrative role, ideally within financial services or a related field.
- Strong organizational and time-management skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM software is a plus.
- Ability to handle confidential information with integrity and professionalism.
- Hold a mutual fund designation is an asset.
