W.S. Morgan Construction requires a Receptionist / Administrative Assistant

Effective day-to-day operations of a construction office / Responsibilities include telephone, reception, greeting visitors, scheduling meetings and appointments, provision of administrative support, planning for supplies and services

Previous experience as a Receptionist / Administrative Assistant or Office Administrator would be an advantage. Construction experiences an asset. Bookkeeping experience an asset.

Characteristic Duties and Responsibilities:

Receptionist, Keyboarding, Administrative Assistance, Maintain and Improve office operations and efficiencies by scheduling, coordinating and managing administrative functions / Organization of the office environment / Maximize field staff efficiencies / Order supplies and equipment / take initiative to implement office requirements / Computer / Intranet / Internet troubleshooting / resolution

  • Sophistication with computer technologies including intranet / website / ftp site
  • Implementation of technical support
  • Interaction with Senior Management, Supervisors, internal and external stakeholder’s Interpersonal relationships requiring written and verbal communications
  • Professional-level computer literacy, superior word processing, utilizing a variety of relevant programs including Spreadsheets Databases and bookkeeping functions including but not limited to numerous Microsoft programs and applications (construction-based software)
  • Support of company operations by maintaining office systems and supervising staff
  • Liaise with facility management vendors, including construction-oriented issues, cleaning, catering and security services
  • Orchestrate in-house and/or construction jobsite-specific activities

Qualifications:

  • Proven experience as an Reception / Administrative Assistant, Front Reception / Administrative Assistant or Administrative Assistant
  • Internet / Intranet and/or Computer Technology certifications and/or competency
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g., fax machines and printers)
  • Familiarity with email scheduling tools
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • University, College and/or High School degree; additional qualifications / certifications / experience as an Administrative Assistant or Bookkeeper

Physical Demands:

  • Ability to perform quickly while under pressure in a fast-paced construction office
  • Lifting / Carrying

Job Types: Full-time, Contract

Education:

  • Secondary School (preferred)

Experience:

  • administrative assistant: 1 year (preferred)
  • receptionist: 1 year (preferred)
