Receptionist

Position Description:

• Reception coverage Monday to Friday, 1pm- 5 pm,
• Answer telephones and direct calls for Midland, Penetanguishene, Orillia, and
occasionally Elmvale offices
• Greet clients at reception desk of Penetanguishene office
• Consistently exhibit a warm, welcoming, pleasant attitude on telephone and in
person
• Photocopy identification of clients as required
• Obtain completed intake forms from clients to accompany copied photo
identification as required
• Scan client identification and intake forms for Midland office
• Announce arrival of clients to lawyer/staff with whom client wishes to see, with or
without an appointment
• See to the comfort of clients while waiting for their lawyer/staff, as necessary
• Provide guidance to clients who are unsure of which lawyer or area of law they
require for their issue
• Liaise with lawyers/assistants when unsure of where to direct potential clients
based on information provided by client
• Schedule appointments for Penetanguishene lawyers
• Receive, log and date stamp (when appropriate) all incoming items delivered to
reception either by hand or by courier
• Advise lawyers/staff of items delivered to their attention and occasionally deliver
items personally
• Maintain signature log for outgoing items
• Receive payments for accounts and retainers via cheque, cash and electronically
(Visa, Mastercard and debit) and issuing receipts to clients for same, maintain
receipt book for cheque and cash payments and receipts input sheet for
payments made electronically
• Ensure payments are properly noted with correct file number for allocation before
forwarding to bookkeeping department
• Prepare all outgoing couriers
• Retain copies of all waybills for outgoing couriers, and for incoming couriers as
required
• Obtain accurate cost estimates and post courier disbursements in time-tracker.
• Reconcile invoices from couriers with the appropriate waybills and ensure
disbursements were correctly posted, adjusting in time-tracker when necessary,
before forwarding to bookkeeping for payment
• Communicate with courier service providers as required for purpose of tracking
packages, discussing accounting discrepancies and ordering supplies
• Manage Scan Watcher for Midland and Penetanguishene offices, including
transfer of scanned items from Scan Watcher to the Q-Drive
• Communicate with Legal Appointments Office regarding new commission
appointments and renewal of existing appointments
• Communicate with Admin regarding ordering new stamps for commissioners
• Update the firm’s internal telephone list as required
• Prepare Statements of Account for notarial services
• Responsible for assembling Will kits for Midland and Penetanguishene reception
desk

SKILLS AND KNOWLEDGE

• Legal Assistant experience considered an asset
• Strong interpersonal communication skills
• Ability to multi-task
• Ability to remain composed and pleasant under pressure
• Ability to work independently, with little direction
• Excellent customer service skills
• Proficient in Microsoft Word and Outlook
• Knowledge of LawBase, Esi Law, PC Law
• High level of discretion and confidentiality
• High level of organization with attention to detail
• Ability to operate multi-line telephone system
